Current doctrine

Prefer cashless. Credit cards reduce the pain of paying compared with cash. Apple Pay makes paying feel like using a phone, not spending money. The easier the payment, the more people spend. I Mind Control People With My Vending Machines, Here’s How

Smart machines need internet to take sales. If they are not connected, you are not trying to get sales. Prefer your own cellular router over property Wi‑Fi when you want control. Everything You Need To Purchase Your First Vending Machine

Budget software, backend, and card fees as a real line on the P&L. Operators repeatedly put that stack around 10% of revenue, with some talks splitting it into software plus card. Those percentages are claimed planning figures, not a guaranteed rate. See Fees, payouts, and the P&L.

Cash-only used machines are treated as a revenue killer. Cashless plus Apple Pay / Google Pay is also the contrast you name when a property already has a traditional vendor. 10 HUGE Mistakes New Vending Machines Owners Make · Use These Negotiation Tactics, They’ll Blow Up Your Vending Business

Note

Cash is not gone. Locations still ask for it. Some operators still place cash-enabled machines. Laundry rooms are a special case because people are counting quarters for washers, not snacks. See When cash is still in the picture and Conflicts.

The site is not luxury and you do not want a big kiosk

Mike Kaufman says you can use a 365 fridge whose door is the scanner / POS instead of spending $5,000 on a 32-inch kiosk (How To Start A Vending Machine Business in 2026 (FULL COURSE) (March 10, 2025)). How checkout works

Traditional spiral machine

  1. Customer completes a credit-card transaction (or feeds coins / crumpled bills).
  2. Customer enters a selection code such as C4.
  3. The motor drops that one item.
  4. For a second item, they redo the card and enter a new code.

Mike Kaufman says that per-item friction is why people often take the first item and walk away. He attributes a 3x decrease in sales to this versus an AI smart machine (Every Type Of Vending Machine You Can Own (Ranked) (September 19, 2025)). That is his claimed comparison, not a promise.

Anthony’s list of traditional payment traits: coins and crumpled bills, letter-number keypads, and if the machine eats the money the customer is out of luck. Same Location... Double the Vending Revenue?

Locked-door smart cooler / unattended retail

Anthony’s customer flow:

  1. Customer taps to pay.
  2. Customer opens the machine.
  3. Customer grabs the product.
  4. Customer closes the machine.
  5. Transaction is done.

Same Location... Double the Vending Revenue?

Mike Kaufman’s more detailed version:

  1. Customer puts a debit or credit card on the door.
  2. The machine authorizes that the card has funds before unlocking.
  3. Customer opens the locked glass door and grabs multiple items.
  4. The same card is charged for whatever was removed.
  5. Do not require barcode scanning or grocery-store self-checkout.

If the card only has about $5 or $10, he says the doors will not unlock. A single trip can theoretically ring up around $300 if someone grabs a large pile (Every Type Of Vending Machine You Can Own (Ranked) (September 19, 2025)).

Anthony’s locked-door version for public-access sites: scan or swipe, door unlocks, they take what they want, the machine tracks it, the door closes, the card is charged. Better for apartments, hotels, lobbies, late-night traffic, and people you do not know. How to Start a Vending Business (with ZERO Experience)

Note

Once they swipe to open, Mike describes a sunk-cost effect: they may grab extra items, including ice cream, while the door is open. He also calls this a “while I’m here” basket of two or three things because they do not enter a spiral code per item. I Mind Control People With My Vending Machines, Here’s How · How AI Vending Machines Trick You To Spend More

Open micromarket with a kiosk or scan-to-pay

Shoppers pay by scanning items. Mike demonstrates prices by scanning in an apartment micromarket. These Vending Machine Items Make Me Over $20,000/Month

On a kiosk market he used for a November P&L, the checkout kiosk was also the sales dashboard. He ran a 10% SAS and transaction fee on kiosk revenue (How Much Do Vending Machines ACTUALLY Make? (December 14, 2024)).

Hotel grab-and-gos, in Mike’s description, let guests room-charge or pay by card at a kiosk instead of waiting at the front desk. Every Type Of Vending Machine You Can Own (Ranked)

Open-shelf theft control he actually names: fob-access room, camera, a property-level fine (his example: $200), or skip open shelves and use a locked cooler (Why You Shouldn't Start a Vending Business In 2025 (August 8, 2025)). How to write or enforce that fine is Not specified in the corpus.

He also describes cameras that fire an alarm if someone grabs an item and walks away without going to the kiosk, and a Las Vegas airport 7-Eleven example: tap a card, gate opens, AI cameras track what you grab, gate opens again after you have paid. Card readers, wallets, and the door-open hold

What to accept

Operators repeatedly name:

  • Credit / debit cards
  • Apple Pay
  • Google Pay

Anthony treats those three, plus smart technology and remote inventory, as the contrast after a cash-only or poorly serviced incumbent. Use These Negotiation Tactics, They’ll Blow Up Your Vending Business

Capabilities he wants on the Stockwell-style machine in his apartment example: credit cards, Apple Pay, Google Pay, AI cameras that track removals, backend inventory updates, and phone sales / inventory reports. This Boring Machine Makes Me $1,000 Per Month, Here's How

Authorization hold before the door opens

Mike Hoffman says the machine puts a $10 hold on the card to authorize opening the door. The hold should show back up on the account within a couple of hours. He calls this very common practice.

  1. After the contract is signed and the machine is ordered, visit the site before install.
  2. Educate employees or residents that the $10 hold will appear and then return within a couple of hours.
  3. If people later complain about the hold, treat it as an education failure, not a surprise feature.

(Reacting to Codie Sanchez’s Vending Business Advice (October 10, 2025))

How to configure the hold amount in a specific backend is Not specified in the corpus.

Seed first purchases with app credit

Mike Kaufman’s example: upload a $5 starting credit to a user’s app when they start a job at the site, pull them to the machine once, then track what they buy. (How AI Vending Machines Trick You To Spend More (June 27, 2025)). Which app, and how to load the credit, is Not specified in the corpus.

Tyrone Lewis offered, after a training center said students are there every day: “We could come in, they could tap their card, we could do a program.” How that program is set up is Not specified in the corpus. Months Without a Single Vending Location...

Internet so the machine can take money

Smart machines need internet for transactions. Two options are taught.

You want control and do not want to depend on the property

  1. Install a router on the machine.
  2. Pay the monthly data fee.
  3. Plug the router into the micromarket or smart machine so transactions use that signal.

Mike Kaufman says he uses WTI cellular routers a lot. They create Wi‑Fi from cell towers. He also says plan on a 110 outlet and use a wall power strip as a buffer. How To Buy Vending Machines Online For CHEAP (Best Methods) · Everything You Need To Purchase Your First Vending Machine

Anthony’s later version of the same rule: a cellular router or cellular connection costs more each month but you are not sitting dead when their Wi‑Fi goes down, the password changes, or the signal is weak. How to Buy Your First Vending Machine (Step-by-Step Process)

Mike Hoffman’s equipment rule: do not lead with 1980s machines that depend on a separate credit-card-reader connection. Use AI smart machines that have their own routers. He blamed connectivity problems in a coaching video on that old reader-on-a-1980s-box setup. Reacting to Codie Sanchez’s Vending Business Advice

  2. Crop and save each product image.
  3. Save the files as JPEGs, not PNGs.
  4. If images will not upload, check file type before spending hours with support.
  5. Reuse a known-good JPEG folder rather than recropping from scratch.

Anthony started around 150 SKUs and later had over 200 photos. Support did not solve the upload failure until someone asked if the files were JPEG, at 9:30 at night. \$8,500 First Month… His FIRST Location

Physical stock does not match the planogram

If what you stocked does not match what the machine thinks is in the slot, update the backend so the planogram matches. Anthony says a mismatch can cause problems. How to Buy Your First Vending Machine (Step-by-Step Process)

Tyrone Lewis’s install rule: if physical inventory and the backend do not match, stop and fix the backend before people start picking, or you lose money.

  3. Enter or correct the backend so on-hand matches physical product. Do this the night before.
  4. Install early the next morning.

Daily theft-prevention check

Mike says this takes about 15 minutes (The EASIEST Ways To Prevent Theft In Your Vending Business (November 1, 2025)):

  1. Check all remote monitoring alerts.
  2. Review transaction patterns for anomalies.
  3. Verify every machine is reporting.
  4. On visits, compare reported inventory to what is actually in the machine. A full report on an empty cabinet can mean theft the cameras missed.

Mike Kaufman’s refund rule:

  1. Post a clear contact and refund policy.

  3. Listen for: not stocked for weeks, vendor never returns calls, residents complain, always broken, cash only. Anthony says you will hear those complaints 9 times out of 10 (Use These Negotiation Tactics, They’ll Blow Up Your Vending Business (February 13, 2026)). That is his anecdotal claim.
  4. Contrast without bashing: smart technology, credit cards, Apple Pay, Google Pay, remote inventory so you stock before things run out, same-day replies, machines that look like an amenity.
  5. Ask if they would be open to seeing a modern setup.

Script after “we already have a machine”:

Oh, great. So you already see the value in having this amenity. How's that working out? Is the vending machine going to stock regularly? Does the machine accept credit cards and Apple Pay? Are your residents happy with the selections?

Bookkeeping software and payment records

Stephen Lee’s order of operations: save source files first, then run books.

  1. Keep digital copies of bank statements, credit card statements, checking-account statements, and 1099-Ks from payment processors. Do not rely on a shoebox.
  2. If you bank with a large bank such as Chase or Bank of America, download the two to three years of statements they usually already have.
  3. Each year around February or March, download the previous year’s statements into a cloud year folder (Dropbox or Google Drive).
  4. Get bookkeeping software. Stephen recommends Xero (spelled X-E-R-O) as more user-friendly than defaulting to QuickBooks.
  5. Review the books at least every quarter, preferably monthly, so you can calculate estimated taxes.

Conflicts

Warning

The corpus does not speak with one voice. Keep both sides.

Cashless-only versus keep cash. Mike Kaufman and Mike Hoffman treat cash / code / motor machines as dying or already a mistake, and cash-only used machines as a revenue killer. John Newcombe called cashless a no-brainer. Anthony still uses cashless as the upgrade pitch, but also says traditional vending is not dead — it is capped. Mallorie placed a traditional machine because the office wanted cash. Manuel ran two cash-enabled machines at a plant that he said hit $8K/month. Mr. Passive warns that laundry-room customers are holding quarters for laundry. Anthony’s ATM talk still cites cash as 14% of consumer payments in 2024. 10 HUGE Mistakes New Vending Machines Owners Make · Reacting to Codie Sanchez’s Vending Business Advice · Same Location... Own cellular versus property Wi‑Fi. Doctrine from Mike (November 7, 2025) and Anthony (July 24, 2026) is: own router if you want control. Mike (January 29, 2025) says do not rely on property Wi‑Fi and names WTI. The same Mike (June 20, 2025) says route data cost dropped after a cheaper data band or plugging into property Wi‑Fi. Both cost-control and independence are in the record.

Used machines and readers. January 29, 2025 Mike: a reader in the listing photo matters. July 5, 2025 Mike: do not buy used / Craigslist; cash-only kills revenue and old inventory tracking cannot be leveraged. August 11, 2026 Anthony: a good used machine is fine if you can judge cooling, parts, and modern payments; a cheap one that will not take modern payment systems gets expensive after it is placed.

Fee percentages. Talks in this corpus use 8–9%, 10%, 10–12%, 10–15% (sometimes including rev share), 5% + 5%, 2–5% software + ~5.9% card (~11%), kiosk 10%, and “super small fees” on a non-AI traditional combo. Anthony’s one-machine spoken fee of $2.62 does not match the $262 that fits his own net. Do not average these into a fake official rate.

Open scan-to-pay versus locked-door charge-on-grab. Mike’s apartment micromarket example has shoppers scanning items. His kiosk market charged 10% SAS / transactions. His later theft and basket-size doctrine prefers locked doors that authorize first and charge everything removed, with no barcode scan. Both checkout designs are in use in the same body of talks.

One backend versus many. Operators run 2, 4, 5, and 6 systems. DJ compiles reports. Anthony dumps mixed OS data into a Google Sheet. Jason’s office is still integrating six after acquisitions. Mallorie called five backends crazy. Nobody in this corpus gives a single “correct” brand to standardize on.

QuickBooks versus Xero. Sandy is training QuickBooks. Stephen Lee recommends Xero and only mentions QuickBooks as the thing everyone already knows.

“Zero theft” claims versus daily theft checks. Mr. Passive claims AI cameras mean zero theft / zero shrinkage because the door stays locked until payment. Mike also says locked AI machines made theft a non-issue on over 100 machines, and separately tells you to spend 15 minutes a day on remote theft checks because cameras can miss product. Keep both: locked-door charging is the control; daily reconciliation is still taught.
