Choosing and buying machines
Choosing and buying machines
Lookup page for a beginner operator. Read the situation that matches the decision in front of you. Do not read this page as a start-to-finish shopping list, and do not buy a cabinet first and then hunt for a wall that happens to fit it.
Current doctrine
These rules are the most recent and the most repeated.
- Do not buy a machine until you have a qualified location, understand the environment, and have a signed contract. Location first. Machine last. Repeat that purchase deal by deal. (How to Start a Vending Business (with ZERO Experience), Start a Vending Business in 90 Days | Complete Roadmap, Buy machines only after a signed contract, deal by deal, How to Buy Your First Vending Machine (Step-by-Step Process), Top 5 Beginner Vending Mistakes, The Best Strategy To Buy Your First Vending Machine In 2026)
- The location dictates the equipment. Equipment never dictates the location. Anthony’s later wording (2026-08-11): the machine is not the business; the location is. A beginner asks “what machine should I buy?” An operator asks “what location do I have, what does it need, and what machine fits that opportunity?” (Why Starting Vending Solo Might Be a Mistake (And What to Do Instead), Top 5 Beginner Vending Mistakes, How to Buy Your First Vending Machine (Step-by-Step Process), Reacting to Codie Sanchez’s Vending Business Advice)
- Match format to weather, theft, aesthetics, and inventory need, not to whatever looks cool. Wrong format in a good site is treated as just as bad as the right format in a bad site. Indoor default in the later batch is a locked-door smart machine or an open micromarket. Traditional cabinets remain the outdoor / weather / vandalism option, not the default indoor machine. (Choose equipment only after you understand the location environment, Every Type Of Vending Machine You Can Own (Ranked), The Best Strategy To Buy Your First Vending Machine In 2026)
- Buy new, with warranty and support. Do not start as a vending-machine mechanic on a Marketplace or Craigslist unit. (How to Start a Vending Business (with ZERO Experience), Don't Start A Vending Machine Business, Until You Watch This..., I made $3,571 today while playing golf, here’s how)
- Shop more than one supplier. Start from the location’s volume and type, not a favorite brand. Ask warranty, delivery time, whether install is included, damage-in-transit process, monthly software/connectivity, support, and parts speed. (Everything You Need To Purchase Your First Vending Machine, How to Buy Your First Vending Machine (Step-by-Step Process), Shop more than one vending supplier before you buy)
- Measure the full delivery path before you order, then measure again after you order. Inspect and power-test before you sign the delivery. Ship to the location, not your house. (Everything You Need To Purchase Your First Vending Machine, How to Buy Your First Vending Machine (Step-by-Step Process), Should You Build or Buy A Vending Machine Route?, Why Starting Vending Solo Might Be a Mistake (And What to Do Instead))
Warning
Buying the machine first is the most repeated beginner failure. Anthony says most beginners get excited, buy, then hunt for a location with no route, product mix, or proof the machine can make money. He later says he has heard the garage-machine story about a hundred times and that a premature first machine often sits collecting dust for six months. Mike Kaufman calls buying before the location the mistake that destroys people before they place anything, and calls machines sitting in the garage a common beginner mistake. When people tell him they already bought four machines, his first question is revenue per machine; they often answer that the four are sitting in the garage. A machine in the garage depreciates, loses value, and makes no money. Mallorie Rauch bought two traditional machines off Facebook Marketplace in October 2024, paid storage, and later stated the lesson as: you do not buy the machine first. (How to Start a Vending Business (with ZERO Experience), Top 5 Beginner Vending Mistakes, Full-Time Job, Two Kids… Now It’s $4K/Month, The Best Strategy To Buy Your First Vending Machine In 2026, Should You Build or Buy A Vending Machine Route?, How To Start A Vending Machine Business in 2026 (FULL COURSE), Why Starting Vending Solo Might Be a Mistake (And What to Do Instead))
Should I buy a machine yet?
If you do not already have a qualified location and a plan for route, products, and whether that machine can make money: do not spend money on a machine. (How to Start a Vending Business (with ZERO Experience))
If you do not have a signed contract: do not buy. Anthony’s later rule is a signed contract before you spend a dollar. Mike Kaufman’s earlier rule is wait until the property says they are ready / want a machine or micromarket. Treat “yes” and “signed” as different bars; the later instruction is the signed contract. (Start a Vending Business in 90 Days | Complete Roadmap, Buy machines only after a signed contract, deal by deal, How ANYONE Can Buy Vending Machines For $0 Down, The Best Strategy To Buy Your First Vending Machine In 2026, Should You Build or Buy A Vending Machine Route?)
If the location is locked and you understand the environment: choose the matching machine last. (How to Start a Vending Business (with ZERO Experience), Why Starting Vending Solo Might Be a Mistake (And What to Do Instead))
Sequence after the location is real
Mike Kaufman’s buy-after-location sequence (Top 5 Beginner Vending Mistakes):
- Measure the space.
- Match the machine to that space.
- Secure a signed agreement.
- Select the product mix.
- Then buy.
Anthony’s later first-machine process is the same idea plus supplier interrogation and a technical site check (How to Buy Your First Vending Machine (Step-by-Step Process)). Angelina treats “buy only after a signed contract, deal by deal” as a major reason vending is capital-light compared with businesses that force a pile of gear before the first dollar (From Laid Off to Replacing Their Salaries With Vending. Here's How (Step by Step)).
After the site said yes, later videos add these steps:
- Confirm you actually have a yes, then a signed contract, before spending. (Should You Build or Buy A Vending Machine Route?, The Best Strategy To Buy Your First Vending Machine In 2026)
- Match the format to that site. See Which format fits this location?.
- Run the cash / software tradeoff: cheap new machine with weaker backend software, more expensive scalable machine with better inventory software, or used from Craigslist / an online marketplace. Weigh that against cash on hand and whether you expect to add many locations. Mike Kaufman mentions tracking inventory well at 10 locations. (Should You Build or Buy A Vending Machine Route?)
- Measure doorway, clearance, and outlet before anything is on a truck. Check listed dimensions against the contracted space. (Why Starting Vending Solo Might Be a Mistake (And What to Do Instead), The Best Strategy To Buy Your First Vending Machine In 2026)
- Order with the delivery address set to the location, not your house. (Should You Build or Buy A Vending Machine Route?)
Tim Barnes said equipment often takes about 30 days to arrive after the order (From Out of Work to $90K/Month, 2026-04-07). That is their timeline, not a promised lead time.
Note
Anthony later says you can add machines and upgrade if the location needs more. The first cabinet does not have to be the final cabinet at that site. (The Best Strategy To Buy Your First Vending Machine In 2026)
Note
Mike Hoffman got a luxury-apartment yes before he knew where to buy a machine. That is a story about pitching first, not permission to order inventory into a garage. (I Quit My Job, Then Started A $50k/Mo Vending Machine Business)
Note
Jesse placed small warm-network office machines as practice units while he still had other income, so those stops did not have to pay for themselves immediately. That is an exception he used to learn stocking and setup before apartment pitches, not the default first buy. (What His First 30 Days in Vending Really Looked Like)
Which format fits this location?
Match the cabinet to weather, theft, aesthetics, and how much inventory the stop can sell. Putting the wrong machine in the right location is treated as just as bad as putting the right machine in the wrong location. (Every Type Of Vending Machine You Can Own (Ranked))

Tip
Bring a tape measure and phone photos of different machine sizes, including compact installs in buildings that look like theirs, to every property-manager meeting. Anthony’s compact talk track is a machine about 30 inches wide that fits a corner, wall, or nook (2026-02-13). On the walkthrough he brings a couple of different machine options on his phone, knows the specs, and visually shows how the compact machine will fit if they say the alcove is too tight. (Use These Negotiation Tactics, They’ll Blow Up Your Vending Business, How I’d Build A Vending Machine Business From $0)
Tip
If you have a location type and want other operators’ machine and mix suggestions, Anthony’s ask is: “I'm going in this kind of building. What do you suggest?” (Start a Vending Business in 90 Days | Complete Roadmap)
Outdoor, weather, or vandalism
Use a traditional / weatherproof outdoor cabinet.
Mike Kaufman: traditional machines are the only machines on the market he says will work outdoors. He still sees a place for them outdoors and at theft-concern sites even though he prefers smart machines indoors. He used eVending for those huge “bulletproof” outdoor boxes, not because they look as sleek as a smart machine. (Every Type Of Vending Machine You Can Own (Ranked), How To Start A Vending Machine Business in 2026 (FULL COURSE))
Anthony: if the machine cannot be inside (pool area, park, outdoor recreation), use a weatherproof outdoor machine built for heat, humidity, cold, and rain. (The Best Strategy To Buy Your First Vending Machine In 2026)
Do not put an AI smart cooler outdoors. Do not use a smart cooler if you need huge canned-soda capacity. (Every Type Of Vending Machine You Can Own (Ranked))
Luxury apartment, hallway, medical, or aesthetics-first indoor site
Use a locked-door AI smart cooler.
Shopper flow Mike Kaufman describes: see everything on shelves, tap a card to unlock, grab multiple items at once. Hallway-friendly depth he quotes is about two feet (2025-09-19). (Every Type Of Vending Machine You Can Own (Ranked))
If you want locked-door theft protection plus card / Apple Pay / Google Pay, Anthony names a smart cooler or Stockwell. (The Best Strategy To Buy Your First Vending Machine In 2026)
Employee break room, warehouse, hotel grab-and-go, or you need more inventory
Use an open micromarket if theft can be controlled.
Open-market conditions Anthony names: cameras exist, employees would be fired for stealing, plus an anti-theft sign. Cantaloupe if they want nicer matched aesthetics; 365 if they do not care how it looks. (The Best Strategy To Buy Your First Vending Machine In 2026, How To Start A Vending Machine Business in 2026 (FULL COURSE))
If it is an apartment or late-night crowd, do not use the open market. Use a locked smart machine instead.
First machine, small space, or you are still learning
Anthony gives two first-machine defaults in the same video. Both are his, and they are not the same cabinet. (The Best Strategy To Buy Your First Vending Machine In 2026)
- If you are unsure how the location will perform, the space is smaller, or this is your first machine while you are still learning: use a combo so you can test drinks and snacks in one unit without going all in.
- If you are unsure what to buy first: start with a smart cooler because he calls it lower cost and versatile; add or upgrade later.
See Conflicts.
Strong site that can take more than one cabinet
Prefer loading a good site over adding another average site.
- Only target sites with 100-plus potential customers. The video does not define how to count that. (He Got Laid Off… Then Built A $102k/Mo Vending Business, 2025-11-14)
- At a strong site, place upwards of three to four machines instead of only one.
- Choose quality locations over simply adding more locations.
Matt Morrison later counted a route as right around 40 machines, a little north of that, because some stops were dual-machine and some were single-machine, plus a couple of micromarkets. (How His Top Location Hit $7K/Month, 2026-03-30)
Frozen add-on next to a refrigerated machine
Mike Kaufman calls frozen food a no-brainer add-on beside a smart cooler (2025-09-19):
- Longer shelf life than refrigerated / ambient, so less shrinkage.
- More menu flexibility, including meals, snacks, and desserts.
- Restocked on the same weekly trip as the refrigerated machine.
- No extra trip required if it sells out before the next scheduled stop.
- Helps win the location as a differentiator, not just an operations add-on.
- He says incremental revenue can be about $800 to $1,500 a month.
Sites he names: manufacturing plants, urgent cares, apartments, employee break rooms, beside a smart cooler. He is bullish where workers want ice cream or have a microwave. He also puts a freezer inside apartment / warehouse markets for pizza, ice cream, Uncrustables, Häagen-Dazs cups, breakfast bowls, and microwaveable meals. He quotes Häagen-Dazs cups at $3 retail and less than 75 cents cost (2025-04-30). (Every Type Of Vending Machine You Can Own (Ranked), I Tried 100+ Vending Locations, These 3 Are Most Profitable)
Häagen-Dazs will not handle well in a refrigerator. Frozen Uncrustables are preferred in a freezer. A freezer can sit beside an existing cooler and be restocked on the same visit. (These Vending Machine Items Make Me Over $20,000/Month, Using “Buy Now, Pay Later” To Buy A Vending Machine Business)
Ice, PPE, or coffee
These are situational specialties, not default first machines. (Every Type Of Vending Machine You Can Own (Ranked))
Ice. Expensive to start and geography-dependent. He would skip it in a cool climate (Oregon is his example) and pursue it in a hot tourist / condo market. After install he says they run on autopilot. Startup cost he quotes is upwards of $40,000 to $50,000 (2025-09-19). He says the margin from turning water into ice is extremely high.
PPE / safety gloves. Niche. He says they boomed during COVID and still work because people are more safety-aware. Put glasses, gloves, and other PPE in plants that require them, because workers forget gear the same way they forget a water bottle. Only awesome in the right location.
Coffee / robotic barista. He points to robotic barista machines seen at SFO and other big airports. In offices he prefers these over traditional light / medium / dark roast machines. Best case is a company coffee budget so employees drink free and the employer pays you. Employer-paid free lattes are more fun economically than only consumer taps, because you collect B2B revenue. Joe’s separate rule: go in knowing coffee machines are not great because people are picky; marked-up apartment coffee service is a different setup he does use. (How This Retiree Built 15+ Vending Locations ($5500/month))
Laundromat washers/dryers and self-serve car-wash equipment appear in the corpus as other unattended businesses, not as vending cabinets. (10 Passive Income Ideas To Pay Your Rent In 2025)
What each format actually is
Despite the title “ranked,” Every Type Of Vending Machine You Can Own (Ranked) never gives an explicit S/A/B/C or 1-to-5 list. The implied indoor order is open markets over smart coolers over traditional indoor machines, with frozen as an add-on and ice / PPE / coffee as situational specialties.
Traditional spiral / coil / motor machine. Customer types a code, a coil turns, product drops. Product must fit the spiral, which caps the mix at items about the size of a Snickers or Reese’s: candy, soda, chips. Anthony lists detergent pods, Tylenol, premium snacks, and higher-ticket convenience items as things this format cannot sell. Mike Kaufman adds frozen pizza, Tide Pods, burritos, and medicine. One SKU per transaction. Each extra snack is another card tap and another code. Payments are often coins and crumpled bills; if it eats money, the customer is out of luck. Anthony’s position: traditional vending is not dead; it is capped. On routes for sale these often show up as old Pepsi / snack machines stocked with $1.25 Snickers and 12-ounce Dr Pepper cans. (How to Start a Vending Business (with ZERO Experience), Same Location... Double the Vending Revenue?, Every Type Of Vending Machine You Can Own (Ranked), How To Start A Vending Machine Business in 2026 (FULL COURSE), Should You Build or Buy A Vending Machine Route?)
Cash traditional machines also hold cash like a piggy bank. Cash on site attracts thieves; operators can steal cash; matching machine sales to cash that lands in the account is an accounting problem. (The EASIEST Ways To Prevent Theft In Your Vending Business)
Hoffman never recommends old-school / 1980s machines that depend on a separate credit card reader connection. He says they have connectivity issues and that leading with them sets you up for failure. He compares starting with them to using a fax machine instead of an iPhone. (Reacting to Codie Sanchez’s Vending Business Advice)
Traditional outdoor machine. Weather-capable. May not look as sleek as a smart machine or micro market. (How to Start a Vending Business (with ZERO Experience))
Combo / hybrid machine. Half drinks, half snacks. Default hedge when revenue is unproven, the space is small, or you do not want a drink machine plus a snack machine on day one. Anthony quotes $5,000 to $6,000 purchase price, 5% to 10% down, and $150 to $175 a month over 60 months (2026-02-20). (10 HUGE Mistakes New Vending Machines Owners Make, How To Replace Your Full Time Salary With Vending (Full Guide), The Best Strategy To Buy Your First Vending Machine In 2026)
Drink-only. Higher margins and no short shelf life, so you can stock more without expiry pressure. (How To Start A Vending Machine Business Step-By-Step (With $0))
Snack-only. Holds a lot of food. Usually a second unit, not the lead. (How To Start A Vending Machine Business Step-By-Step (With $0))
Open micro market. Shelves, coolers, freezers, checkout kiosk. No motors or codes. Flexible for fresh food, bigger drinks, larger bags, medicine, protein, convenience items. Can carry unusual SKUs. Downside is theft because there is no locked door: if someone raids the cooler or shelf, you eat the inventory. Anthony: wrong environment is a public apartment lobby at 2 a.m. Mike Kaufman’s example market: two coolers, three snack shelves, one kiosk, “literally takes up an entire room.” Cantaloupe: nicer open micromarkets, custom aesthetics, match shelving/signs/fonts to the property; size is Tetris-flexible down to one shelf plus fridge plus kiosk. Anthony quotes a full micromarket setup at $10,000 to $20,000; cost varies widely by size (2026-02-20). Shannon recalled $10,000 to $12,000 to open her first converted-yoga-studio marketplace with a double cooler, a large cool system, and four shelving units (2026-01-13). (How to Start a Vending Business (with ZERO Experience), How Much Do Vending Machines ACTUALLY Make?, The EASIEST Ways To Prevent Theft In Your Vending Business, How To Start A Vending Machine Business in 2026 (FULL COURSE), The Best Strategy To Buy Your First Vending Machine In 2026, How She Turned One Vending Location Into $25K/Month)
Tim Barnes: they added high-quality self-checkout micromarkets after about six months to diversify. Micromarkets were their highest-revenue format. Best one around $14,000 a month, with a handful of recent ones near those numbers. Pricier to install, so judge ROI, not just sales. He is not claiming micromarkets are necessarily the best thing; they wanted more of them in the portfolio after the first six months with none. (From Out of Work to $90K/Month, 2026-04-07)
Mike Kaufman also describes residential micromarkets that can replace front-desk incidentals and hold drinks, frozen food, snacks, and toiletries with 24/7 resident access. He says average revenue per machine in his apartment complexes is over $2,500 a month, and that the specific apartment market on camera was going to do $20,000 that month. Warehouse markets with a freezer: he says average revenue per machine in big multi-shift locations can be upwards of $5,000 a month. (I Tried 100+ Vending Locations, These 3 Are Most Profitable, 2025-04-30)
For a packed micromarket that needs many rows, Shannon stocks 20-ounce Smartwaters instead of 33-ounce bottles so the larger bottle does not waste space. (How She Turned One Vending Location Into $25K/Month)
Locked-door smart machine / smart cooler / AI cooler / Stockwell. Customer authorizes a card, door unlocks, they take what they want, cameras or sensors track it, door closes, card is charged. Better for apartments, hotels, lobbies, public access, late night. Lets you sell items that will not fit a coil (Lunchables, salads, sandwiches, chargers, condom packs, hats, shampoo, protein jugs — if they fit on the shelf). Credit card, Apple Pay, and Google Pay on Anthony’s description. Tradeoff versus an open market: more secure, but limited in cubic inches. Mike Kaufman said a busy smart machine might need stocking four times a week versus twice for a market (2026-04-07). Anthony quotes smart coolers at $5,000 to $8,000, 5% to 10% down, and $150 to $225 over 60 months (2026-02-20). (How to Start a Vending Business (with ZERO Experience), Don't Start A Vending Machine Business, Until You Watch This..., I Sell $2 Phone Chargers For $15 (And People Thank Me), The Best Strategy To Buy Your First Vending Machine In 2026, From Out of Work to $90K/Month)
Mike Kaufman says onboard cameras plus locked doors cover most theft. On the cooler behind him he describes four cameras inside plus a camera outside, and says an AI smart machine will cover 95% of theft anyway (2025-09-19). He later calls cashless locked-door AI machines theft killers: no cash target, grabbed items are charged, remote tamper alerts, unexpected or too-long door-open notifications, and remote sleep mode. He says he has over 100 AI smart machines out with zero theft (2025-11-01). (Every Type Of Vending Machine You Can Own (Ranked), The EASIEST Ways To Prevent Theft In Your Vending Business)
Smart machine with digital screens. Property branding, local imagery, seasonal messaging, promotions, video, ads. Amenity layer for premium sites. Mike Kaufman says people come to the machine because they saw the overhead screen from 100 yards (2025-06-27). (How to Start a Vending Business (with ZERO Experience), How AI Vending Machines Trick You To Spend More)
Locked MicroMart / 365 Stockwell. Locked doors, digital screens, backend UI. One unit or a three-unit combo. Door stays locked until the shopper taps a credit card or Apple Pay; that same card is charged for every item they take. 365: cheaper open market or door-scan fridge; Stockwell locked smart machine for luxury / theft. Mike Kaufman treats 365 as a separate sales set and checks that company’s dashboard on his phone. Freezer / micromarket freezer / frozen-food machine. Required for Häagen-Dazs. Preferred for frozen Uncrustables. Chilled traditional combo (AVS example). Joe used chilled AVS combos that can still vend salads and sandwiches while remaining a more traditional cabinet. (How This Retiree Built 15+ Vending Locations ($5500/month))
Specialty. Coffee / robotic barista (employer can be invoiced instead of the employee). Ice vending. PPE. Cold brew as a department-level hospital machine. (Every Type Of Vending Machine You Can Own (Ranked), Vending Machine Placements So Good, They Feel ILLEGAL)
New or used?
Current doctrine: buy new.
Anthony: a used Marketplace or Craigslist machine around $1,500 versus a new machine at several thousand dollars is still a false savings. You do not know history, maintenance, whether refrigeration is about to fail, or whether the card reader is reliable. When it breaks you pay repairs, lose daily revenue, frustrate the location, and lose customer trust. He cites Mike Hoffman’s used Craigslist machine breaking six months later. If you bought the machine new and it breaks, use the warranty. (How to Start a Vending Business (with ZERO Experience) (2026-07-07), If You Have $10,000 Saved, Watch This Video)
Mike Kaufman, same story from the buyer’s side, repeated across years:
- First used Craigslist machine: he has said he paid $2,800 (marketed mechanic-refurbished), $3,000, or tried to save about $2,000. It broke at about six months. Making it operable again would have been another $2,000 in refrigeration parts, and he expected it to break again in a year or two. He treats the money as gone. He says he will never buy another Craigslist vending machine, but “everyone is different.” (How To Buy Vending Machines Online For CHEAP (Best Methods) (2025-01-29), 10 HUGE Mistakes New Vending Machines Owners Make (2025-07-05), Don't Start A Vending Machine Business, Until You Watch This... (2025-02-17), Should You Build or Buy A Vending Machine Route? (2025-05-29), I made $3,571 today while playing golf, here’s how)
- Rule he states: buy it right or buy it twice. He does not want to be a mechanic. He wants the manufacturer to service a warranted machine. (How To Start A Vending Machine Business Step-By-Step (With $0), The Best Passive Income Opportunity Of 2025 (Even If You're Lazy))
Problems he associates with used machines (10 HUGE Mistakes New Vending Machines Owners Make):
- Often cash-only, which he says kills revenue.
- Even with a card reader, inventory tracking may be too old to save picker time or map a stocking schedule.
- No warranty, no manual, no one to call.
- Third-party listings leave you with no manufacturer support.
- It can still break and force you to buy new anyway.
Hoffman: do not buy or lead with old-school / 1980s machines that depend on a credit card reader connection. Use AI smart machines that have their own routers. (Reacting to Codie Sanchez’s Vending Business Advice)
If you still look at used
He prefers you do not. If you do anyway (How To Buy Vending Machines Online For CHEAP (Best Methods)):
- Search Craigslist (or similar) in your area, for-sale, by owner.
- Skip kids-vending-machine ads; he treats those as people trying to take your business.
- Cross-reference the exact model against brand-new price (he used evending.com).
- Check the photo for a lit machine and a credit card reader. A black plate where a reader could go, plus cash-only, is a downside.
- Before you visit, ask: how long have you had it, what has it been doing for sales, what repairs have you already done.
- Low historical sales can mean fewer “miles.”
- Do not buy until you know what kind of location it will go in.
- If used is only about $1,500 cheaper than new, or the used Futura combo is $5,000 and the same machine is $5,000 new (2025-01-29), buy new.
Anthony’s later used-machine check, if you ignore the default and still look (Why Starting Vending Solo Might Be a Mistake (And What to Do Instead)):
- Check for cooling issues.
- Check for hard-to-find parts.
- Check for an outdated setup that will not take modern payment systems.
- Before you place it, weigh lost sales, extra trips, and damaged trust with the location, not just the repair bill.
A manager who lets you put a machine in and then watches it break down sees a you problem, not just a machine problem. There is nothing wrong with a good used machine. A cheap one can get expensive fast.
Warning
Same speaker, two jobs: the doctrine is “do not buy used.” The Craigslist walkthrough is only if you ignore that. He also says some other operators like buying used and fixing them. He does not. Anthony later says a good used machine is fine if you know cooling, parts, and modern payments. Hoffman says do not start on 1980s equipment at all. Keep all three. (How To Buy Vending Machines Online For CHEAP (Best Methods), Why Starting Vending Solo Might Be a Mistake (And What to Do Instead), Reacting to Codie Sanchez’s Vending Business Advice)
Other used / inherited paths
- Mallorie bought two traditional machines on Facebook Marketplace first, stored them, then placed them. She later said do not buy the machine first. She still used traditional when an account wanted cash. (Full-Time Job, Two Kids… Now It’s $4K/Month)
- Jason runs north of 500 mostly traditional machines from acquired routes. Before a machine goes out he runs a 103-item checklist (items not listed on camera), assigns a part-timer to clean the fleet in weekly blocks, and harvests dead machines for parts and scrap. That is a warehouse-scale traditional operation, not a beginner first buy. (How He Scaled to 500+ Vending Machines by Buying Routes)
- Buying a whole route of new smart machines / micromarkets is a different decision from buying one Craigslist snack machine. See Buying a route or someone else’s machines.
Brands and named cabinets
Do not treat this as a recommended shopping list. The corpus says start from the location, then research multiple manufacturers. Mike Kaufman: do not get hung up on brand; named brands all have good points. Always start with the end location, not the brand. An unnamed speaker: having biases about machine companies is fine; you still have to do what is best for you. Lane said he was running four different systems across 12 machines and did not name brands. (Everything You Need To Purchase Your First Vending Machine, How a Married Couple Built a $36,000/Month Vending Business, He Had No Sales Experience… Now It's $200K/Year)
Mike Kaufman works with multiple machine companies, not a single brand. He installs a machine from each supplier in his own office as a live test unit and product-feedback loop. How do I pick a supplier?
Preconditions
You already know the location type and have, or are close to, a signed agreement. (Everything You Need To Purchase Your First Vending Machine)
Steps
- Start with the location’s volume and type, not a favorite brand. (Everything You Need To Purchase Your First Vending Machine)
- Reach out to multiple verified manufacturers. Do background research / a SWOT on each. Do not talk to only one company and get sold. (Everything You Need To Purchase Your First Vending Machine, Shop more than one vending supplier before you buy)
- Compare how many machine types and location types each option actually lets you serve. DJ switched ecosystems because high-end residential, manufacturing, and hospitals wanted newer machines than a traditional coil, and he wanted more than one or two machine types. (How He Built a $50,000/Month Vending Business in One Year)
- Ask every supplier, besides price (Everything You Need To Purchase Your First Vending Machine, How to Buy Your First Vending Machine (Step-by-Step Process)):
- What is the warranty?
- What does the warranty actually cover?
- What is the delivery time frame?
- Is installation included, and what does it cost?
- What happens if the machine is damaged in transit, and do they have a backup to ship immediately?
- What are the monthly software or connectivity costs?
- How does support work after purchase?
- How quickly can I get replacement parts?
- Do not pick a machine just because of this week’s interest rate. Each manufacturer has its own financing and qualification. (How To Buy Vending Machines Online For CHEAP (Best Methods))
- Ask companies such as eVending, MicroMart, and 365 about financing. Anthony says credit score matters more than cash on hand. (How I’d Build A Vending Machine Business From $0)
Anthony also walked through applying on VenHub: browse listed categories, check dimensions against the contracted space, apply for financing, submit the basic information for a credit check, review monthly payment options if approved, then schedule installation. He said VenHub was then available to members of that community and should open to the public sometime that year. Approval depends on the credit check. Current availability is not specified in the corpus. (The Best Strategy To Buy Your First Vending Machine In 2026)
Warranty and lead-time rules
- Cheaper machine with a 1-year warranty: when the compressor dies after a year you may swap it, hire someone, or buy a new machine. (Everything You Need To Purchase Your First Vending Machine (2025-11-07))
- 5-year warranty example: brand swaps a failed compressor at no cost. (Everything You Need To Purchase Your First Vending Machine (2025-11-07))
- 8-week delivery vs under a month: treat the long lead as six to eight weeks of lost sales. (Everything You Need To Purchase Your First Vending Machine (2025-11-07))
- After a signed contract, Mike Kaufman’s stated lead time to tell the property is 10 days to six weeks. (How To Negotiate Vending Machine Deals Like A PRO)
- Tim Barnes said equipment often takes about 30 days to arrive after the order (2026-04-07). That is their timeline. (From Out of Work to $90K/Month)
- The cheapest machine is not always the cheapest machine if it creates downtime, service problems, or support headaches. (How to Buy Your First Vending Machine (Step-by-Step Process))
Mike Kaufman does not like spending time taking machines off pallets and treats paid install as buying back time. (Everything You Need To Purchase Your First Vending Machine)

Cash to get the first machine running
These are different breakdowns from the same circle.
Anthony, 2026-06-26 (Reasons You Shouldn't Start a Vending Business):
- Plan on $500 to $1,000 down for a machine, not a $0 start.
- Budget around $1,000 for inventory.
- Budget about $350 for basic equipment: totes, a wagon, and storage.
- Treat the all-in number as a few thousand dollars before consistent income.
Anthony, 2026-08-04 (10 Boring Business Ideas That Quietly Make You Rich (Like Vending)):
- Qualified operators can often start with about five to a thousand dollars down.
- Budget about $3,000 to $5,000 all-in including inventory and basic setup.
Anthony, 2026-05-01 (Make More Money in 2026: Every Business Ranked):
- Budget about $3,000 to $5,000 to get started.
- New machine $2,000 to $4,000.
- About $1,000 initial inventory.
- Totes, wagons, storage $2 to $500.
- Miscellaneous including insurance, LLC, supplies $2 to $500.
He notes in that video that the spoken $3,000–$5,000 total is lower than the line items if you add the high end of each range.
Anthony, 2026-02-27 (If You Have $10,000 Saved, Watch This Video):
- With about $10,000 saved: finance at 5% to 10% down.
- Budget about $150 for the machine payment.
- Budget $600 to $900 to fill the machine the first time.
- Keep remaining cash as operational capital.
- Start with two to three machines while holding a reserve.
He says these estimates are based on historical averages, this is not financial advice, and results will vary.
Mike Kaufman, 2025-04-23 (How Much Does It REALLY Cost To Run A Vending Business?):
- Financing can be as little as no money down, but in a lot of cases 10 to 15% down.
- On a $6,000 machine at 10% down, plan on $600.
- Budget $300 to $500 of cost of goods to fill, depending on how big the market is.
- Stock it yourself the first two or three times before hiring.
First-fill contrast, same speaker, 2024-12-14 (How Much Do Vending Machines ACTUALLY Make?): about $300 to fill one normal vending machine vs about $5,000–$6,000 of opening inventory in a room-sized micromarket. He used both $6,000 and $5,000 for that same opening product cost in the same video.
Financing structures people described
These are personal deal terms, not a current rate sheet. Speakers describe financing as similar to a car loan: pay cash or finance, then use machine cash flow toward the note.

After a location is locked, later videos add this cash-management sequence (How I’d Build A Vending Machine Business From $0):
- Do not assume you must buy outright or put a large down payment down.
- Finance the machine over a term similar to a car loan.
- Let the machine’s sales pay the monthly note.
- Keep cash for warehouse materials and hiring a stocker rather than tying it up in the cabinet.
Mike Kaufman’s 2025 cash rule: do not pay full price in cash for machines; he says depreciation still applies if you finance, and paying his first machine in cash left him strapped and unable to scale. Keep cash for more locations and more product. (10 HUGE Mistakes New Vending Machines Owners Make)
Anthony later wished he had financed the first machine instead of paying cash after draining savings. (How He Built a $102K/Month Vending Business With 45 Locations)
Matt Morrison says every machine purchase still feels like a good chunk of change going out; he reframes that spend as pointed toward future growth. (How His Top Location Hit $7K/Month)
Mike Kaufman’s first machine, as a cash-flow comparison to a rental, did $600 in revenue and $300 in profit, matching the $300/month from a rental that had required a $14,000 down payment. (My Brutally Honest Career Advice For Anyone Feeling Stuck In Life, 2025-06-05)
Anthony says vending machines or routes sell for 1 to 1.5x revenue, and that a 15 to 20 location operation “doing $150,000 per year” would be worth $360,000 to $540,000 (2026-02-27). Those are his sale-multiple claims, not a promise of what a route will fetch. (If You Have $10,000 Saved, Watch This Video)
Warning
First-payment delay is not a single rule. Mike Kaufman has said 90 days after install (2025-08-08), 3 months after sales (2025-07-05), 30 days after install (2025-09-12), and, in the same breath, both “90 days after it was delivered” and “90 days after it started doing sales” (2025-03-10). Mike Hoffman described 90 days on his first machine (2025-01-06). Confirm the actual contract.
What do I check on site before I order?
Fit is not a delivery-day question. (Why Starting Vending Solo Might Be a Mistake (And What to Do Instead))
Vet the location itself before you pick a machine or sign
Hoffman / Anthony sequence (Reacting to Codie Sanchez’s Vending Business Advice, Why Starting Vending Solo Might Be a Mistake (And What to Do Instead)):
- Identify the type of location first.
- Vet the location yourself instead of only letting them vet you.
- Check for real foot traffic, not just a small employee headcount.
- Calculate drive time to stock the account, including the round trip.
- Be willing to say no and wait for the right location instead of rushing into the quickest contract.
A landscaping shed 40 minutes away created 1 hour 30 minutes of drive time just to stock. Mike Hoffman hates rushing a machine into a car dealership that only has 20 employees.
If a placed machine underperforms and you are new, do not only blame product mix, the machine, or “give it more time.” Also ask whether the location was never strong enough. Beginners often cannot tell that the location is the problem. Anthony’s four-part system for making failure hard: pick high-foot-traffic locations, match the machines to the demographic, stock what sells, provide good service.
Technical site check (smart machines)
Mike Kaufman (Do the technical site check before the machine ships (2025-11-07)) and Anthony (Confirm internet and power before the machine arrives (2026-07-24), Why Starting Vending Solo Might Be a Mistake (And What to Do Instead)) overlap. Combined:
- Decide internet before the machine arrives: onboard/cellular router with a monthly data fee, or property Wi‑Fi. Do not show up on install day asking for the password.
- Confirm a 110-volt outlet at the spot. He says these smart machines run on the same type of outlet as a laptop charger. Confirm it exists, works, and can be reached safely.
- Confirm the outlet has no switch or automatic shutoff that can cut power overnight (warm drinks / spoiled fresh food).
- Plan a surge-protection cord / power strip. Do not plug the machine straight into the wall.
- Bring a tape measure on the first visit. Measure the space, doorway, and clearance.
- After the machine is ordered, go back and measure again.
- Check listed dimensions against the actual contracted space.
- Use Mike Kaufman’s standard envelope unless it is a Stockwell: about 75 inches high, 35 inches wide or smaller, 30 to 35 inches deep (2025-11-07). Treat a Stockwell as outside that width assumption.
- Measure every doorway from outdoor drop-off to the final spot, plus hallway, elevator, turns, and whether doors open far enough.
- Check elevator fit or plan stairs.
- Leave ventilation space. Mike Kaufman: at least a 6-inch gap off the wall so the compressor can breathe (2025-11-07). Anthony: do not shove a refrigerated machine flat against the wall.
Caveats they state:
- One wrong first measurement, then the ordered machine does not fit.
- Property Wi‑Fi is cheaper; if the property loses signal, you lose sales. Cellular costs more and gives more control.
- Never push flush to the wall or you can burn out the compressor.
- Machines look power-hungry but Mike Kaufman says smart machines can sleep, so refrigeration is not drawing hard all day, and they still only need 110V.
Anthony: a smart-machine connection may be used for payments, backend reporting, inventory tracking, cameras, and machine communication. (How to Buy Your First Vending Machine (Step-by-Step Process))
Mike Kaufman also lists electrical as “110 outlet is enough in his view” plus independent cellular Wi‑Fi if it is a smart machine, in the location-factors list before choosing a cabinet. (How To Buy Vending Machines Online For CHEAP (Best Methods))
Space objection line he uses with managers: you just need six square feet, less than a refrigerator (2025-09-26). (How To Negotiate Vending Machine Deals Like A PRO)
Exact amperage, dedicated-circuit rules, leveling, and anchoring steps beyond doorway, clearance, outlet, and listed dimensions: Not specified in the corpus.
Watch traffic before you decide type and count
Mr. Passive: watch actual resident traffic before deciding machine type or how many machines to deploy. Prefer a long sightline over a hidden corner. A machine visible from 50 feet beats a hidden corner. Use a glass-front AI/smart machine so multiple SKUs are visible; avoid traditional logo-wall fronts. A digital sign helps more than glass alone. (Vending Machine Placements So Good, They Feel ILLEGAL (2025-11-21))
Anthony: wrong placement inside the building can cut sales 25% (2026-01-09). Best machine still fails without foot traffic. The gap between his $700/month machine and $4,000/month machines is the location, not the machine. (This Is Boring, But These Vending Locations Do $3K–$5K a Month)
How do I place the order and take delivery?
Order
Mike Kaufman (Place the order and force a tight delivery window):
- Get an order number so you can track the timeline yourself. He says machine companies are terrible at logistics and do not operate like Amazon.
- Confirm the delivery window rather than waiting passively.
- When the regional carrier calls with a 72-hour window, ask to be first off the truck the next morning.
- Ask how they will notify you. Push for a text or call with the actual driver, not only dispatch.
- Set the delivery address to the location, not your house. (Should You Build or Buy A Vending Machine Route?)
Delivery day
Anthony (Handle delivery day: extra time, tip help, inspect before you sign):
- Block more time than you think you need. Do not assume a two-hour window is enough.
- Bring some cash. If the driver is only required to drop at the curb, you can ask and offer a tip so they help move it closer while it is still on the pallet jack.
- Do not sign until you inspect.
Inspect before you sign
Mike Kaufman will not sign while the machine is still wrapped (Everything You Need To Purchase Your First Vending Machine):
- Unwrap the cardboard.
- Confirm it powers on.
- Check scratches and dents.
- Check that nothing is broken inside, including AI cameras.
- Ask for email paperwork after inspection.
Script he uses:
Hey, I'm not signing any paperwork. You can send it over to me via email for a signature, but I need to unwrap this and actually test the machine, make sure it turns on, make sure there's no scratches or dents, make sure nothing's broken inside with the AI cameras.
Anthony’s inspect list is the same idea plus photos and video, and check that the door opens. If you sign first and find damage later, it is much harder to prove what happened. (How to Buy Your First Vending Machine (Step-by-Step Process))
First-install prep
Jesse asked ambassador Lee (who does a lot with Haha machines) for the exact bring-list and setup sequence, packed those tools including a wire cutter for zip ties, and followed the written steps on site. Lee’s actual list is not shown in the video. He said the list saved him an hour to an hour and a half of discovering missing tools in front of the property manager. (What His First 30 Days in Vending Really Looked Like)
Anthony after close (How To Replace Your Full Time Salary With Vending (Full Guide)):
- Be there for the installation.
- Stock the machine yourself on the first day.
- Do test transactions with the property manager.
- Set expectations on the stocking schedule.
- Treat this as the first impression.
Insurance the property will want before delivery
Most properties require proof of insurance before the machine is allowed on site. See Insurance that follows the machine.

Mike Kaufman: you do not need 20 or 50 machines to reach $5,000 a month; you need 5 to 7 strong locations. A strong machine, in his math, nets $800 to $1,000 a month (2026-04-03). High-volume warehouse revenue of $5,000-plus a month is tied to multiple machines, not a single machine. Machines are movable assets. Operate like an investor. (Top 5 Beginner Vending Mistakes)
Insurance that follows the machine
This is equipment protection and property access, not a full legal setup.
What to shop
Anthony (Shop insurance that properties and the machine itself may need):
- Expect most properties to require general liability.
- Ask whether they also want auto or commercial auto.
- Ask specifically about inland marine to help protect the machine while it sits at the location.
- Shop multiple quotes.
- Understand what is actually covered instead of assuming.
If you place a $6,000 or $7,000 machine and somebody damages it, you need to know whether that is covered. One bad incident can wipe out months of profit if you are not protected. (2026-07-07)
Later he says if a new machine is vandalized, use insurance, which he says covers it. He does not describe a policy type, carrier, or cost in that later video. (If You Have $10,000 Saved, Watch This Video)
Mike Kaufman defines inland marine as coverage for movable items, which is why it fits vending machines, even though the name sounds like boat insurance. He calls it the most important coverage as it relates to vending machines. Example: a vandal destroys a $10,000 machine. (Everything You Need To Purchase Your First Vending Machine, How To Legally Protect Yourself As A Vending Owner)
Mike Hoffman: start with typical general liability; do not, in his view, buy a pile of extra policies yet. When the first machine goes out — especially at an apartment — add “marine layer” insurance because he says general liability will not cover theft/break-in at the machine. Coverage is only up to whatever your policy is. (How To Set Up An LLC For Your Vending Machine Business)
COI before the truck arrives
Mike Kaufman (Buy vending-specific insurance and issue a property COI before delivery, Buy the insurance stack and issue COIs to properties):
- Get general liability. He always recommends starting around a $1 million policy, with an umbrella in the $1 million to $2 million range depending on route size; increase later (2025-11-07 / 2025-11-28). He also calls $1 million minimum non-negotiable.
- Look into product liability for customer reactions or expired-product claims. He says it is usually under general liability.
- Confirm property-damage coverage is inside general liability or add it separately (flooring / building damage).
- Add inland marine because machines are movable.
- When you apply, list number of machines and revenue so the carrier can drive premiums down.
- Insist you are in the vending niche, not food service, so the policy is not priced as food service. He says some brokers (he names Next as an example) may not understand vending.
- Once the policy is in force, create a COI that lists the property address and information, and add the property as additionally insured.
- Give the property the named COI before the machine is allowed on site.
He names Next Insurance for a quick policy, plus Hartford and Progressive. He tells a member story where a delivery company scratched marble flooring with a pallet/forklift and property-damage coverage mattered.
He also says a high-crime or sketchy neighborhood may not be covered.

Buying a route or someone else’s machines
Different job from buying your first new cabinet.
Diligence after LOI
Mike Kaufman (Use an LOI, then chip price the way real-estate buyers do, Should You Build or Buy A Vending Machine Route?):
- Tentative offer, get under LOI / under contract.
- CPA reviews the books during the LOI period.
- Inspect the machines.
- Review the seller’s contracts with properties.
- Use cracks to renegotiate. Take broken or problem machines off the price and nickel-and-dime machine issues.
- If a location is only a handshake, argue it is worth less.
- Look for depreciable extras: machines, a stocking van, a built-out warehouse.
- After chipping price, do not screw the seller so badly they will not help with transition.
He says this finds cracks nine times out of ten. Example: devaluing an urgent-care location doing about $1,500/month if there is no written contract ($20,000 a year vs $15,000). (2025-08-01)
Route due-diligence items he names that touch equipment:
- Revenue per location and number of machines at each location.
- Ability to raise prices.
- Ability to install newer machines or a micromarket.
- Whether current soda equipment is limited to 12-ounce cans.
- Machine age, working condition, and spare parts if you will keep them.
- Risk a “great” stop is about to be taken in-house (hotel micromarket example).
If you may keep the seller’s equipment
- Ask how old the machines are.
- Ask whether they currently work.
- Ask whether extra parts exist for older machines.
- If you will not recapitalize with new machines, estimate depreciation and how long those machines will keep producing after you buy.
- If you will flip to micromarkets / smart machines, treat old equipment as less important because you plan to pull it.
Mike Kaufman is “a huge believer” that unattended retail is moving to micromarkets and smart machines, which is why he discounts old-machine risk for himself. He often does not care how old the seller’s machines are because he plans to pull them anyway. If you will keep the existing machines and not put more capital into replacements, underwrite age, parts, depreciation, and remaining useful life. (Should You Build or Buy A Vending Machine Route?)
One acquisition he described
$96K route, four locations with new equipment doing $8K a month at purchase. About $48K down and $48K seller-financed over 48 months at 3%, note about $1,000–$1,030 a month. He wanted the seller involved at least a year (seller was local for the first three months) and introduced as a business partner, then asked those decision makers for sister-property intros. He added missing freezers. He said that same route did $84K a month in May 2025, one year after a May 2024 purchase. That is one deal he says he bought, not a guaranteed outcome. (Using “Buy Now, Pay Later” To Buy A Vending Machine Business)
Mr. Passive walks a similar $96K / $8K-month / four-location fact pattern and was comfortable paying 1× trailing revenue because the stops already did about $2K each and the machines were new. He judged labor at about two stocking hours per location per week. Prefer machines still under warranty so a dead fridge is a manufacturer tech, not a paid contractor. (These “boring” machines make me $80k/mo, here's how)
Flip thesis on old routes
Treat it like a rental-house value-add, not like you must keep the seller’s planogram.
- Buy a cheaper old-school route to get the locations.
- Identify Pepsi/Coke motor machines and old-school snack machines that limit what you can stock.
- Note low-price staples such as Snickers at $1.25 and 12-ounce Dr Pepper cans.
- Swap for a micro market or smart cooler.
- Replace 12-ounce cans with 20-ounce bottles.
- Replace candy such as Snickers with higher-ticket items such as salads.
- Raise prices and add more expensive or incidental products. He names condoms, sunscreen, toilet paper, $4 energy drinks, and $4 protein shakes (2025-05-29).
- Depreciate the new equipment.
- Use higher revenue to raise route value.
- Use revenue-per-location as the KPI that tells you whether a $1,000 location can be expanded after the swap.
Presented as the unattended / modern-vending play against baby-boomer soda routes, not a guarantee on every location. He says you can get 2 or 3x revenue at a location by swapping to a micromarket or smart machine and better products. That is presented as what can happen after the swap, not a guaranteed result at every stop. (Should You Build or Buy A Vending Machine Route?, Flip an old-school route by swapping in smart equipment)
One apartment example: traditional spiral machine at $1,200 a month; same apartment over $2,500 a month about 60 days after swapping to a smart machine loaded with Tide Pods, burritos, DayQuil, and NyQuil (2025-03-10). (How To Start A Vending Machine Business in 2026 (FULL COURSE))
Hoffman: if you are leading with $2 Snickers or a $2 12-ounce Dr Pepper on a traditional machine, shift to AI smart machines and higher-ticket items such as phone chargers, protein jugs, DayQuil and NyQuil, condoms, and makeup wipes, aiming at $8, $15, or $100 transactions. He says you can make $15 off Tide Pods in an AI smart machine. (Reacting to Codie Sanchez’s Vending Business Advice)

Recurring operating details that affect the buy
These are not “which cabinet” questions, but they change what you should purchase.
- Cash vs card at plants. Manuel ran 1 Haha Pro plus 2 cash-enabled machines at his highest-revving manufacturing stop (brands of the cash machines not named; he did not say whether they also take cards). (How His 3rd Location Hit $8K/Month In Revenue While Working Full-Time)
- Remote inventory. A card reader is what let Mike Kaufman stop driving just to see what sold. Smart / AI cabinets are sold as phone-level sales and inventory. Anthony’s Stockwell checklist: snacks, drinks, incidentals, fresh food, cards / Apple Pay / Google Pay, AI cameras, backend inventory, phone reports. (Why Everyone Is Suddenly Trying This “Recession Proof” Business, This Boring Machine Makes Me $1,000 Per Month, Here's How)
- Software and card fees on AI micromarkets. Mike Kaufman: about 2% to 5% software plus about 5.9% card fees because those machines only take cards; example data cost $15/machine; one-time router $50–$75 if not included (2025-06-20). (I Automated My Vending Machine Business So I Work Less Than 2HR/Week)
- Traditional multi-item friction. Each extra snack is another card tap and another code. He expects many people to take one item and walk. He says leaving a high-friction traditional machine in place instead of AI can mean about a 3× decrease in sales (2025-09-19). (Every Type Of Vending Machine You Can Own (Ranked))
- Smart-cooler grab. Open door, “while I’m here” multi-item basket. He says their smart coolers have done 2–3× the revenue of their old-school machines (2025-06-27). Anthony assigns about $2.50 average transaction to traditional vs $5–$6 to modern, with COG staying around 35% in that swap example (2026-04-10). (How AI Vending Machines Trick You To Spend More, Same Location... Double the Vending Revenue?)
- Shelf merchandising only works if the cabinet has shelves. Eye-level / golden zone, charger LEDs and signage, incidental packs 20–30 deep vs a 16-oz Monster 7 deep. Coil machines cannot do this the same way. (How AI Vending Machines Trick You To Spend More, I Sell $2 Phone Chargers For $15 (And People Thank Me), Selling These Is So Profitable, It Feels Illegal)
- Pry-off bottles. Madison hangs a bottle opener on a small wire padlock hooked to a shelf so customers can open Jarritos without stealing the opener. (She’s Doing $10-12K a Month With Just 6 Vending Locations)
- Spare machines. Madison keeps spare machines in a rented storage unit, but not melt-prone product because of heat. (She’s Doing $10-12K a Month With Just 6 Vending Locations)
- Anthony on smart-cooler service. About 90% of issues can be reset or troubleshot remotely. He still runs 5 traditional machines in a large portfolio and calls coils, cash boxes, and bill dispensers the pain points. (How He Built a $102K/Month Vending Business With 45 Locations (2026-01-20))
- Traditional stocking time, one example. Mike Kaufman: one traditional hotel-type machine about two 30-minute visits a week, about an hour a week total. He calls that the older model. (10 Passive Income Ideas To Pay Your Rent In 2025 (2025-05-22))
- Busy smart machine vs market restocks. A busy smart machine might need stocking four times a week versus twice for a market. (From Out of Work to $90K/Month (2026-04-07))
- Warranty repairs on a bought route. If machines are still under manufacturer warranty, have the GM/stocker call the manufacturer; they send a tech at no cost. (These “boring” machines make me $80k/mo, here's how)
- Depreciation. Mike Kaufman, Mike Hoffman, and Mr. Passive all treat new (or newly purchased) equipment as depreciable. How to file it is not specified in the corpus beyond “take it to your accountant,” except the December 2025 guest claims in Tax treatment of machines.
Tax treatment of machines
Stephen Lee, filmed in December 2025, treated depreciation as the largest deduction most vending operators have, because machines can be written off entirely or spread over five years. He tied the 100% rules to what they called OB3 / the “one big beautiful bill,” and said depreciation was the biggest change in that bill for vending operators. (The Tax Strategy Most Vending Machine Owners Get Wrong, 2025-12-19)
These are guest claims about federal tax law as of that recording. They are not a filing instruction for your return.
- Treat the new 179 / bonus depreciation rules as applying to 2025, from January 1 through December 31, 2025.
- Only treat equipment purchased after January 19, 2025 as eligible for 100% bonus or 179 under the new law.
- If you purchased equipment earlier than January 20, 2025, apply the old rules to that equipment.
- Use Section 179 to cherry-pick which machines or CapEx items get a 100% write-off now, and use regular depreciation on the others. Section 179 cannot take the deduction past zero; it will not create a loss.
- Understand bonus depreciation also allows a 100% write-off, but unlike Section 179 it can take taxable income negative and create a reported loss.
- Before maxing depreciation to zero tax, ask what is coming in the next two to three years: business financing, a mortgage, or other goals that require tax returns showing profits.
- Remember banks can add depreciation back toward earnings before interest, taxes, and depreciation, but Stephen said they still want to see some taxes being paid as a viability signal.
- Do not implement maximum write-offs with one-year tunnel vision.
Anthony asked for a loophole to pull 2023–2024 equipment under the new 100% rules. Stephen did not provide one.
Other operator deductions Stephen said still exist after OB3: insurance, vehicle mileage, home office, garage or other home square footage used for inventory storage, community membership, CPA / tax-preparer fees, plus Section 179 and bonus depreciation on machines.
Warning
How California conforms to federal Section 179 and bonus depreciation is not specified in the corpus. Do not assume the federal 100% write-off flows through to a California return.
Conflicts the corpus does not resolve
Warning
Speakers do not fully agree. Keep both sides.
Location versus machine. Anthony: the machine is not the business; the location is (Why Starting Vending Solo Might Be a Mistake (And What to Do Instead)). Mike Kaufman: it is not about which machine you buy; it is about the type of location it is going into (How To Start A Vending Machine Business in 2026 (FULL COURSE)). He also says location, location, location is everything to making money with vending, not the machine, and that how nice or modern the machine is does not matter as much as location and foot traffic (I made $3,571 today while playing golf, here’s how). In the ranking video the same speaker says putting the wrong machine in the right location is just as bad as putting the right machine in the wrong location (Every Type Of Vending Machine You Can Own (Ranked)). Read those together as: do not buy first, do not ignore the site, and still match format to the site once you have it.
Is traditional dead or just capped? Mike Kaufman (2025-07-05) says traditional cash/code/motor vending in 2025 is almost dead and bets it is completely dead in the next two years; get on board with micro markets and smart coolers or be left behind. Anthony (2026-04-10) says traditional vending is not broken and not dead; it is capped and being outperformed. Anthony still specifies traditional outdoor machines (2026-07-07) and traditional cabinets where a site needs extra physical protection (2026-01-20). Mike Kaufman himself still specifies traditional outdoor machines for weather and, in an earlier video (2025-01-29), a cheap evending Futura combo as training wheels on unproven or back-of-house stops. Jason’s live fleet is still mostly traditional drink/snack/food/changer machines. Hoffman never recommends old-school machines and says traditional vending is dead; if you lead with them you are setting yourself up for failure (Reacting to Codie Sanchez’s Vending Business Advice). Both pictures are in the corpus.
Open market in apartments. Anthony: locked machine for apartments, hotels, late-night public traffic; an open market in a public apartment lobby at 2 a.m. is the wrong environment. Mike Kaufman: same locked-machine rule for late-night unattended apartments — and also cites one apartment micro market at over $15,000 last month (2024-12-26), plus a later on-camera apartment market he said was heading for $20,000 that month (2025-04-30). Javier kept an open market on a takeover because ROI beat buying AI machines. Kaufman later calls AI smart machines the theft killers and says they changed the theft problem he had with open micromarkets (The EASIEST Ways To Prevent Theft In Your Vending Business). Tim Barnes still added open micromarkets after six months because they were the highest-revenue format, then judged them on ROI and theft control. The theft rule is consistent. The apartment revenue anecdotes are not a blanket exception.
Fancy machines at manufacturing. Mike Kaufman: blue-collar high-volume plants want equipment that takes money, gives food, and works; do not spend on fancy machines or logos (2025-12-02). DJ: manufacturing decision-makers often want newer technology and better look-and-feel than a coil vender (2025-12-23). Manuel’s $8K plant mix was two cash-enabled machines plus one Haha Pro (2026-02-17). Anthony matches manufacturers/break rooms to micro markets after the deal is closed (2026-02-06) and wants a micro market at 150-plus warehouse employees (2026-01-09). Match the actual buyer in front of you; the corpus does not pick one manufacturing cabinet.
Cashless as default vs cash when asked. John Newcombe: cashless/AI was a no-brainer because he did not want coins. Mike Kaufman: cash-only used machines kill revenue; lead with micro markets / smart coolers, not the word “vending.” Mallorie still placed traditional because an early account wanted cash. Manuel’s best stop includes two cash-enabled machines. DJ still has coil machines that “generate coins.”
Combo-first hedge vs smart-first doctrine. Unsure / unproven / 9–5 office: start with one combo (Mike Kaufman 2025-07-05 and 2025-01-29; Anthony 2026-02-06; combo MicroMart if revenue is unknown, Mike Kaufman 2024-12-26). Same speakers, other videos: prefer modern smart machines over traditional motor machines so you are not limited to what fits the motors; smart/micromarket is the 2025 path. In one video Anthony says use a combo for a first / small / uncertain site, and start with a smart cooler because it is lower cost and versatile (The Best Strategy To Buy Your First Vending Machine In 2026). Those are staged rules (test cheap, then upgrade) sitting next to a technology preference. They are not the same instruction. The corpus does not resolve which one wins when the site is both small and your first stop.
Price and down-payment ranges do not agree. New-machine prices in this corpus run from Anthony’s $2,000–$4,000 starter line (2026-05-01) through “a few thousand on the low end” (2026-07-24) through Mike Kaufman’s $3,000–$10,000 AI range (2025-11-07), Anthony’s $5,000–$8,000 combo/smart-cooler band (2026-02-20), Anthony’s $8,000 Stockwell (2026-01-02), $10,000–$20,000 micromarkets, and $40,000–$50,000 ice. Downs run from $0 / “five dollars” to 5–10% to 10–20% to $500–$1,000. First-fill inventory is ~$300 on a normal machine and $5,000–$6,000 on a room-sized micromarket. Use the figure that matches the format you are actually buying, and treat every number as that speaker’s claim on that date.
Buy-used walkthrough vs never-buy-used doctrine. See New or used?. The how-to exists because he knows beginners will look. The advice is still to buy new. Anthony later leaves more room for a good used machine if you can inspect cooling, parts, and payments.
How much a “better” machine lifts sales. Kaufman: two to 3x for smart coolers versus traditional, and a 3x decrease attributed to traditional checkout friction (2025-09-19). Kaufman again: 2 to 3x for grab-and-go markets versus traditional when stocked with higher-end items. Hoffman: traditional does one third, sometimes one fourth, of an AI smart machine. One apartment swap: $1,200 to over $2,500 in about 60 days. None of these are promised results at your stop.
Note
Mike Kaufman says about 90% of his new locations already have old vending. Treat that as an upgrade sale, not a dead end. (Why You Shouldn't Start a Vending Business In 2025 (2025-08-08))
Attributed revenue claims tied to machine choice
Not operating promises. Same building / same traffic claims are still one operator’s story.
